How to Choose a Commercial Kitchen Service Company

The worst time to pick a service company is at 6am with a warm walk-in. The best operators choose their companies before anything breaks, get set up as an account, and turn emergencies into phone calls to someone who already knows the kitchen.
Credentials that actually mean something
- EPA Section 608: federally required for refrigerant work. Non-negotiable for any refrigeration repair.
- CFESA certification: the industry training standard for commercial food equipment technicians, covering gas, electric, steam, and refrigeration disciplines.
- Factory authorization: matters when equipment is under warranty; unauthorized repairs can void coverage. Check your major brands against the company's stated authorizations.
- Insurance: ask for proof of liability coverage; a company working on your gas line should not make you nervous about it.
Eight questions before the first call
- What is the diagnostic fee, and does it apply toward the repair?
- What is the hourly rate, and the after-hours rate?
- Do you stock parts for my brands on the trucks or locally?
- What is your realistic emergency response time to my address?
- Do you offer maintenance agreements, and what do they include?
- Who do you send: employees or subcontractors?
- What warranty do you put on parts and labor?
- Can you give me two current commercial references nearby?
Red flags
No physical presence or verifiable address, cash-only pricing, reluctance to state rates before arrival, no EPA certification for refrigerant work, and residential appliance companies taking commercial calls they are not equipped for. A company that services home refrigerators is not automatically qualified for a rack oven or a two-compressor walk-in.
Factory service or independent?
Both, strategically. Under warranty, use the factory network or an authorized servicer so the manufacturer pays and the warranty survives. Out of warranty, a good independent with CFESA techs and local parts is usually faster and more flexible, and a maintenance contract with one company that learns your kitchen beats spot-calling whoever answers.
