Reach-In Cooler Not Cooling: What to Check First

Reach-in coolers and freezers fail more often than walk-ins and for different reasons. They sit in the hottest part of the kitchen, get opened hundreds of times a shift, and their condensers are usually at floor level where grease-laden air collects. The good news is that a large share of reach-in failures come down to four things an operator can check without tools, and knowing which is which saves an emergency call.
First, measure the real temperature
Put a calibrated thermometer in a cup of water on the middle shelf and read it after twenty minutes. Air temperature swings every time the door opens and during every defrost cycle; product temperature is what actually matters and what a health inspector will check. Target 41F or below for refrigeration, with most operators aiming for 36F to 38F to leave margin. If product is at 45F and climbing, treat it as urgent.
If the display reads fine but product is warm, suspect the sensor or the controller rather than the refrigeration. That is a technician call.
The four operator checks
1. The door gasket. Close the door on a dollar bill and pull it out. If it slides free with no drag, the gasket is not sealing there. Walk the whole perimeter. Torn, hardened, or mould-blackened gaskets are the single most common reach-in fault and one of the few parts an operator can replace.
2. The door itself. Does it self-close from six inches open? Sagging hinges and worn cams leave doors resting a quarter inch proud, which no compressor can overcome. This is also the failure that staff stop noticing because the door looks shut.
3. Airflow inside. Product stacked against the evaporator vents, sheet pans covering the return air path, or a cabinet packed wall to wall will starve circulation. You will often see one shelf frozen and another warm. Clear the vents and leave a gap around the fan opening.
4. The condenser coil. Find the grille, usually low at the front or on top. If the fins are furred with grey dust or, worse, greasy lint, the unit cannot reject heat. This alone can raise cabinet temperature ten degrees or more. Unplug the unit, then brush along the fins, never across them, and vacuum the debris rather than pushing it deeper. In a fryer-heavy kitchen this needs doing monthly.
What needs a technician
- Ice on the evaporator after a manual defrost, which points to a defrost heater, timer, or termination sensor fault
- Water pooling in the cabinet that clearing the visible drain does not fix
- A fan that does not spin when the unit is running, either condenser or evaporator
- Compressor short-cycling, running for a minute and stopping repeatedly
- Anything sealed-system: refrigerant charge, leaks, compressor, metering device. This legally requires EPA Section 608 certification and is not an operator task
Reach-in vs walk-in: why the advice differs
A walk-in has a remote or top-mounted condensing unit, a much larger thermal mass, and hours of coasting time when something fails. A reach-in has a small self-contained system a few feet off a hot line, far less thermal mass, and can go from fine to unsafe within an hour. Before you decide to repair
Self-contained reach-ins have a shorter economic life than walk-ins, and past a certain age a failed compressor is often not worth replacing.
